Position Summary

Responsible for the support of Fleet Operations through the facilitation & timely processing of invoices, purchase card expense reports, uniform orders, & office supply requests. Contributes to the success of operations by assisting in general administrative tasks, including phone calls, time entry compliance & corrections, and other business area functions as needed.  

Tasks and Responsibilities

  • Daily processing of SAP workflow invoices through to service entry sheet, to include summary billing creation, prep, submittal & processing
  • Produce & process purchase card expense reports for assigned Fleet personnel, to include validation of purchase card receipts on timely & accurate basis
  • Complete & update equipment master record data entry for all fleet related asset purchases, to include preventive maintenance plan creation on a timely & accurate basis
  • Process all Fleet uniform orders & occasional office supply purchases
  • Process all Fleet received toll road billings & traffic violation notifications to include communication with various business areas and/or toll authorities, to include research using telematics
  • Provide time entry review, coordination, & communication in support of Fleet Operations & in compliance with the Wage Scale working agreement
  • Update equipment utilization hours in SAP for Storerooms & other business areas monthly in support of Fleet Operations
  • Process material charge adjustments as needed for assigned garages
  • Capture & validate details on all invoice scans through Fleet’s DataCap application with a high degree of consistency, timeliness, & accuracy
  • Create work orders for Fleet related inspections, recalls, & other related activities
  • Monitor & process all Headquarter carpool requests through the active scheduling of available units, to include full communication & continuity
  • Assist Field Representative duties for assigned contracts as it relates to SAP workflow of invoices, to include vendor statement review, & past due invoice research as needed
  • File all state registration 39A forms
  • Maintain all paper & electronic records in accordance with all CPS Energy Records Management requirements
  • Answer phone calls & provide instruction/direction to both internal and external contacts
  • Provide support by relieving other positions within the Business Area
  • Performs other duties as assigned

Minimum Skills

Minimum Knowledge and Abilities

Ability to read, write, and understand verbal and written instructions
Ability to work with detailed quantitative data with a high degree of accuracy.

Basic math skills (addition, math, multiplication, and division); demonstrated ability to work with numbers; 10-key skills

Preferred Qualifications

  • Proficient in data input, transaction processing, data extraction, and/or process controls
  • SAP data entry, service entry processing, and report processing
  • A Texas Driver`s License with a history of safe driving record in accordance with CPS Energy policies, procedures, safety standards and applicable laws and regulations

Minimum Education

High School Diploma or GED

Required Certifications

Working Environment

Indoor work, operating computer, manual dexterity, talking, hearing, repetitive motion. Use of personal computing equipment, telephone, multi- functioning printer and calculator.
Ability to travel to and from meetings, training sessions or other business events. After hours work may be required.

Physical Demands

Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
