Position Summary

The PG Administrative Technician coordinates, develops, oversees, and analyzes statistical reports, engaging in diverse data entry and analytical tasks, including personnel records, budgets, contracts, statistics, databases, and more. Provides payroll support, reconciles data, analyzes information, updates SAP, handles communication, maintains records, ensures compliance, and facilitates meetings, demonstrating versatility in supporting various business functions.

Tasks and Responsibilities

  • Assist with monthly variance analysis, reviews results, reconciles actual costs with budgets/forecasts, summarizes variance explanations/forecasts, and distributes the information as appropriate.
  • Perform various data entry tasks, including coordinating, developing, and maintaining files and databases associated with department personnel, budgets, contracts/invoices, statistics/monthly reports, vehicles/equipment, tools, generation reporting, and plant drawings Includes quality control and analysis of data imports and exports.
  • Assist with providing accurate and timely invoice payments, inventory summaries and other requirements as needed.
  • Provide weekly payroll support and reconciliation plant personnel.
  • Maintain paper and electronic file records in accordance with the Record Management Policy
  • Assists with plant performance metric tracking and reporting.
  • Welcome internal and external customers in the office to help determine the visit's purpose or arrange appointments.
  • Adhere to company guidelines regarding confidential information including word processing information.
  • Assist with purchasing and accounts payable functions as directed by the plant management.
  • Confer with managerial or technical personnel, other departments or contractors to resolve problems or to coordinate activities.
  • Must effectively communicate information to supervision and fellow plant personnel relative to administrative processes and provide suggestions for plant improvement.
  • Must perform duties in such a way to result in an optimum cost-benefit ratio.
  • Plan and facilitate meetings and communications within assigned department.
  • Provide support by relieving other positions within the Business Area OR Completes cross-training on other related functions as needed.
  • Ensure compliance with company policies and departmental guidelines.
  • Prepare job aids/manuals utilized for training purposes.
  • Track and order office equipment and supplies
  • Coordinate Corporate and Business Area initiatives; plant performance review meetings; and hotel rooms and meeting space for visiting customers.
  • Prepare and distribute safety meeting action items.
  • Engage with team members on special projects as needed and other duties as assigned.
  • Assistance with updating Power Generation & ESMO Budget into the Corporate Integrated Planning Tool including:  (a) timing of activities (Overhaul, Projects); (b) Project Scope/Definition;  (c) categorization of all fields for accuracy; (d) verification of Fiscal Year/Months; (e) Accruals – Initiation of process/preparation of forms; (f) Journal entries – Initiation of process/preparation of forms; (g) resolving issues by correcting PM orders (ie: blocked cost centers, incorrect settlement %, etc); (h) accuracy of accruals after Accounting posts to SAP; (i) updating month-end summary files; (j) analysis of variances, review actual line items, search for errors and corrections; and (k) Analyzes data gathered and develops solutions or alternative methods of proceeding (ie: Capital versus O&M review)
  • Provides business costs and/or operations analysis utilizing SAP standard reporting functions

Minimum Skills

Minimum Knowledge and Abilities

Ability to work with detailed quantitative data with a high degree of accuracy. This includes the ability to import and export large quantities of data into various databases.
Proficient follow-through skills and ability to resolve issues in a timely manner.
Must have excellent oral and written communication skills.
Ability to examine and analyze information and apply logical thought processes.
Must have ability to use 10-key by touch, and type 45 words per minute.
Ability to work extended hours and varied shifts with weekend and holiday work, as required by schedules, workload and plant conditions. “On Call” status will periodically be required.
Ability to read, write, and understand verbal and written instructions.
Demonstrated ability to establish and maintain an effective working relationship with internal and external customers. (peers, co-workers, all levels of the organization and outside entities).
Must have the ability to be a reliable team player.
Ability to prepare written summaries of analysis and findings for management.
Demonstrated positive interpersonal behaviors toward CPS Energy, associates, and customers consistent with company core values.
Demonstrated ability to multi-task various critical work assignments proactively and independently in a fast-paced environment and in a professional manner.
Proficient in Microsoft Office Package, including word processing, spreadsheets, database, presentation software, electronic mail and scheduling.
Valid Class C Texas Driver’s License

Minimum Education

Required Certifications

Working Environment

Indoor work, operating computer, manual dexterity, talking, hearing, repetitive motion. Use of personal computing equipment, telephone, multi-functioning printer and calculator. Ability to travel between business related events. Work hours may be extended.

Physical Demands

Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
