Position Summary

Provides support for projects and process improvement initiatives as assigned by Executives and Managers in the business area/unit. Administers and maintains various databases and/or systems for business area/unit. Supports the administration of the Stormwater Pollution Prevention Plan (SWPPP) certification process.

Tasks and Responsibilities
  • Provide daily assistance as necessary to Directors and Managers
  • Coordinates/ attends meetings. Take meeting minutes, distribute and monitors project schedules.
  • Prepare, complete and submit travel arrangements for staff as necessary
  • Enter time for executive direct reports; process payroll
  • Maintain executive calendars; planning and scheduling meetings
  • Maintain confidential meeting agendas and materials used in executive presentations
  • Creating expense reports, allocating p-card expenses in SAP
  • Compile, review, and administer the documentation for the Stormwater Pollution Prevention Plans (SWPPPs) received from the multiple areas and seek executive approval once review is complete
  • Meet with individuals, special interest groups and others on behalf of executives
  • Maintains training resources, rooms and ensures equipment is working properly.
  • Maintains and administers SAP, databases, learn management systems, document management systems (DMS); generates monthly reporting.
  • Provides analytical support for related projects and initiatives.
  • Develops and manages purchase requisition process for applicable business area/unit.
  • Completes personnel requisitions, position change notices and employee action notices.
  • May perform employee timesheet entry and adjustments for applicable business area/unit.
  • Maintains confidential employee records and training documents.
  • Answering multi-line telephone and provide Information/direction to both internal and external contacts; directing callers, and taking messages using proper telephone etiquette
  • Creating various documents and spreadsheets using Microsoft Office Applications (i.e. expense reports, correspondence, memos, etc.)
  • Read, analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
  • Other duties/responsibilities as assigned
Minimum Skills
Minimum Knowledge and Abilities
Proficient in Microsoft Office Package, including word processing, spreadsheets, database, presentation software, electronic mail and scheduling
Experience supporting a department, functional area, business management or a coordinator.
Experience in working with budgeting
Ability to manage time and properly document
Experience with SAP
Preferred Qualifications
  • Associate’s degree in Office Administration, Business or other related field.
  • Previous experience working with Project Management
  • Experience in using a document management system
  • Experience in using Clarity, MS Project or similar software
  • Experience with Visio
